Who we are and what this covers
DealerPulse is a CRM for RV dealerships, made by Useful Technologies, LLC, doing business as DealerPulse ("DealerPulse", "we", "us"). This policy covers:
- Visitors to dealerpulse.com, including anyone who asks for a demo or pricing.
- Dealership staff who use DealerPulse CRM and the DealerPulse mobile apps.
- Dealership customers and shoppers whose information a dealership keeps in DealerPulse, including visitors to a dealership's website when the dealership uses DealerPulse website tracking or website chat.
When a dealership uses DealerPulse, the dealership decides what information about its customers goes in and how it is used. We process that information on the dealership's behalf, under our agreement with the dealership. If you are a dealership's customer, the dealership's own privacy policy also applies, and the dealership is the best first contact for questions about your information.
Information we collect
From visitors to our website
- What you send us when you ask for a demo or pricing: your name, dealership, phone, email, number of stores, current CRM and what you asked about.
- Usage information collected by Google Analytics: pages viewed, how you got to the site, device and browser type, and approximate location. See "Cookies and analytics" below.
- Technical information our hosting provider handles to deliver and protect the site, such as IP address and browser details.
From dealership staff who use DealerPulse
- Account details: name, work email, phone, role and store.
- Sign-in and security details, including multi-factor authentication if you turn it on.
- What you do in DealerPulse: the customers you work, the messages, emails and notes you send, your calls (and their recordings and transcripts where your dealership records calls), and an audit history of actions.
- If you connect your work Microsoft 365 or Google account: see "Microsoft and Google account connections" below.
- From the mobile apps: the microphone for calls, the camera and photos for walkthrough videos and unit photos, and notifications. The Lot app also uses your location, including in the background, to place scanned units on the lot map and to share a driver's position with dispatch during a transport run. The DealerPulse CRM app does not use your location.
About dealership customers, on the dealership's behalf
- Contact details: name, phone, email and address.
- The units a customer is interested in, their trade, appointments, notes and where each deal stands.
- Texts, emails, website chats and calls between the customer and the dealership, including call recordings and transcripts where the dealership records calls.
- Lead details sent to the dealership by its website and by lead providers such as RV listing sites.
- If the dealership uses DealerPulse website tracking on its own website: the pages and units viewed, how the visitor arrived (including ad click identifiers), time on the site, device type, the details typed into the dealership's website forms, and an approximate location (city and region) worked out from the IP address. The IP address itself is not stored. Tracking turns off for visitors whose browser sends a Global Privacy Control signal.
How we use information
- To run DealerPulse for dealerships: calling and texting customers, logging calls, writing call summaries, reminders and follow-ups, reports, and the other features the dealership uses.
- To answer demo and pricing requests, and to support our dealership customers.
- To keep DealerPulse secure, find and fix problems, and prevent abuse.
- To understand how our website is used and improve it.
- To meet legal obligations.
We do not sell personal information. We do not use a dealership's customer information for our own marketing, and we do not share it with one dealership for another's benefit. Each dealership's information is kept separate from every other dealership's.
AI features
Some DealerPulse features use AI: call summaries and transcripts, suggested appointments and next steps, writing help, the AI that answers website chats and texts for a dealership, and AI Call Assist, AI Dormant Follow-Up Assist and AI Inventory Assist when a dealership's package includes them. To do this, the relevant information (for example a call's audio, or the messages in a conversation) is sent to the AI service providers listed below, which process it to return the result to that dealership. Information from one dealership is never used to answer for another.
Everything an AI writes to a customer is saved on that customer's history in DealerPulse, where the dealership's staff can see it.
Texting, calls and email
Text messages
Dealerships use DealerPulse to text their customers from the dealership's own registered business number. A customer can reply STOP (or UNSUBSCRIBE, CANCEL, END or QUIT) at any time to stop texts from that dealership; DealerPulse then blocks every text to that number from that dealership, whether written by staff or by AI, until the customer replies START. Reply HELP for help. Message and data rates may apply, and message frequency varies.
Mobile phone numbers and text messaging consent are never shared with third parties or affiliates for their marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party, except the service providers that deliver the messages.
Calls
Each dealership chooses whether its calls are recorded. Where a dealership records incoming calls and plays a notice, callers hear that the call may be recorded before it connects. Recordings are transcribed so the dealership can read and search them, and so DealerPulse can write call summaries. Dealerships are responsible for following the call recording laws that apply to them.
Emails a dealership's staff send through DealerPulse go out from their own work mailbox, and replies are filed on the customer's history.
Microsoft and Google account connections
Dealership staff can choose to connect their work accounts. DealerPulse uses these connections only to provide the features the person turned on, and they can be disconnected at any time.
- Microsoft 365 (Outlook): to send email from the person's own mailbox, to file replies from the dealership's customers onto those customers' histories, and, if turned on, to sync calendar appointments or read a chosen OneDrive folder. Mail from senders who aren't the dealership's customers is not added to anyone's history.
- Google: to sync appointments with Google Calendar, and to read a dealership's Google Analytics (GA4) reports.
DealerPulse's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We don't use information from Google or Microsoft accounts for advertising, and we don't sell it.
For a dealership that connects its GA4 property, DealerPulse sends key events (such as a quote or a purchase, with the unit's price as the value) to that dealership's own GA4 property. These events identify the visitor only by the Google Analytics ID already on the dealership's website; DealerPulse does not send names, emails or phone numbers to Google.
Cookies and analytics
Our website uses Google Analytics, which sets cookies (such as _ga) to count visits and understand how the site is used. Google's use of this information is described in How Google uses information from sites that use its services. You can block cookies in your browser, or turn off Google Analytics with the Google Analytics opt-out browser add-on. Our site also loads fonts from Google Fonts, which receives your IP address when the page loads.
DealerPulse website tracking on a dealership's website stores an anonymous visitor ID in the browser's local storage rather than a cookie, and turns off for browsers that send a Global Privacy Control signal.
Who helps us run DealerPulse
We share information only with service providers that help us run DealerPulse, under contracts that limit what they can do with it; with the dealership the information belongs to; when the law requires it; to protect DealerPulse, our customers or the public; or as part of a sale or merger of our business. Our main service providers:
- Cloudflare: website hosting, file storage (including call recordings, photos and videos) and email intake.
- Render and Neon: application hosting and the database, in the United States.
- WorkOS: sign-in and multi-factor authentication.
- Twilio: phone calls, call recording and text messages.
- Anthropic: AI writing, summaries and replies.
- Deepgram: transcribing call recordings.
- Google: Analytics, address lookup, calendar sync, and the voice for AI phone features.
- Microsoft: email and calendar for staff who connect Microsoft 365.
- Resend: sending notification and demo-request emails.
- Sentry: error reports, set up not to collect personal information by default.
- Expo: mobile app updates and push notifications.
- Mapbox and Esri: maps and satellite imagery.
- U.S. Census Bureau Geocoder: placing customer addresses on a map.
How long we keep information
We keep a dealership's information for as long as the dealership uses DealerPulse, unless the dealership deletes it or asks us to delete it sooner. Some information is removed automatically sooner, for example walkthrough and unit videos after 30 days, records of AI requests after 90 days, and Lot app location history after 365 days. Demo and pricing requests are kept while we are in touch with you about DealerPulse. We may keep some records longer where the law requires it, or to resolve disputes, prevent fraud and keep DealerPulse secure.
How we protect information
Information is encrypted in transit, and stored with providers that encrypt it at rest. Each dealership's information is kept separate at the database level. Staff access is controlled by role, multi-factor authentication is available, and significant actions are recorded in an audit history. If you find a security problem, please tell us at colin@usefultechnologiesllc.com. No system is perfectly secure, but we work to protect the information in our care.
Your choices and rights
Depending on where you live, you may have the right to ask what personal information we hold about you, to correct it, to delete it, to get a copy of it, or to opt out of certain uses. We will not treat you differently for making a request.
- If you are a dealership's customer, please contact that dealership first: it controls your information in DealerPulse, and we will help it respond.
- For anything else, email colin@usefultechnologiesllc.com. We will confirm who you are before acting on a request, and answer within the time the law allows (usually 45 days). An authorized agent can make a request for you with your written permission.

How to delete your information
Email colin@usefultechnologiesllc.com with the subject "Data deletion request". Tell us whether you work at a dealership, use a DealerPulse mobile app, are a dealership's customer, or contacted us through this website; the dealership's name, if there is one; and the email address and phone number we would have for you. Please don't send ID documents by email; if we need to confirm who you are, we'll tell you how.
- Dealership staff and mobile app users. The DealerPulse mobile apps sign in with your dealership account. Your dealership's DealerPulse administrator can turn off your login straight away, or email us from the address you sign in with. We will close your login, remove your personal profile details and disconnect any Microsoft 365 or Google account you connected. Customer records, messages and call history you worked on belong to the dealership and stay with it. Deleting an app from your phone removes what is stored on the phone, but not your account.
- A dealership's customers. Your information in DealerPulse belongs to the dealership you dealt with, so please contact that dealership first; we will help it act on your request. If you can't reach the dealership, email us with its name and we will pass your request on. To stop texts from a dealership straight away, reply STOP to any of its texts.
- Demo and pricing requests. Email us from the address you used and we will delete your request and stop contacting you.
We confirm we have your request, act on it within the time the law allows (usually 45 days), and tell you when it is done. We may keep some records where the law requires it, or where they are needed for security, to prevent fraud or to resolve disputes; we'll tell you if that applies. Deleted information can take up to 90 more days to leave our backups.
Children
DealerPulse is a business tool for dealerships and is not directed to children under 16. We do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We will post any changes on this page and update the date at the top. If a change is significant, we will also tell our dealership customers before it takes effect.
